Who we are
UK Portugal Removals is a UK-registered removals firm specialising in household and commercial moves between the United Kingdom and Portugal. For data-protection purposes, we are the data controller of the personal information you provide to us in connection with a quote request, survey, or move.
What data we collect
We collect the personal information you provide directly to us, which is typically:
- Your name and contact details (email, phone number).
- The pickup and drop-off addresses for the move.
- A target moving date if you have one.
- Free-form notes you choose to include with your enquiry.
- Survey-derived information about the consignment (inventory, valuations, photographs of access constraints) once a survey has taken place.
- Documentary information required for customs filings (NIF, residency-permit details, V5C ownership documents where vehicle shipping applies).
How we use it
Personal information is used solely for the purpose of:
- Replying to your enquiry and arranging a survey.
- Preparing and issuing your written quote.
- Filing the UK and Portuguese customs paperwork on your behalf (ToR1 to HMRC, AT bilingual inventory).
- Operating the move itself and corresponding with you about it.
- Issuing invoices and managing the commercial relationship.
We do not sell or rent your personal information. We do not use it for marketing to unrelated parties. We do not share it beyond what is strictly necessary to perform the move you have engaged us for.
Who we share it with
Limited sharing for operational purposes only:
- HMRC, for the UK-side ToR1 declaration.
- The Portuguese Autoridade Tributária (AT), for the customs inventory and clearance.
- Insurance providers operating cover on the consignment.
- Our network sister-site partners only where you have asked us to refer you.
- Service providers that operate parts of the move under contract (e.g. depot operators, port forwarders) bound by data-processing agreements.
How long we keep it
We retain enquiry and quote records for as long as is required to operate the move and to satisfy our legal obligations afterwards (customs records, accounting records, insurance records, claims records). Outside those retention requirements, we keep information only as long as needed for legitimate business purposes and delete it when it is no longer relevant.
Your rights
Under UK GDPR you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your information, subject to retention requirements above.
- Object to processing for purposes other than those necessary to deliver the move.
- Lodge a complaint with the Information Commissioner's Office (ICO).
